SPECIAL INSTRUCTIONS TO APPLICANT:

POSITION PURPOSE: Under the general supervision of the Associate Athletic Director for Internal Operations, the Athletics Operations Coordinator (Equipment Manager) is responsible for the independent coordination, administration, and evaluation of key operational functions within the Athletics Department. The position oversees the procurement and inventory of athletic apparel and equipment; manages locker room and laundry operations; enforces athletics branding standards in coordination with vendors and university partners; and supports the planning and execution of athletic events. The incumbent applies thorough knowledge of applicable policies, procedures, and operational standards to make independent decisions, develop procedures, and ensure programmatic compliance. The incumbent regularly interacts with internal stakeholders and external vendors, serving as a departmental liaison and providing recommendations to support operational effectiveness and strategic goals. In addition, the incumbent provides lead work direction to student staff involved in laundry and event operations, ensuring training, task execution, and service quality meet departmental expectations.

DUTIES & RESPONSIBILITIES:

Administration of Athletic Equipment, Apparel & Inventory Operations

  • Coordinate with coaches, department staff, and university administrators to develop and implement apparel, footwear, and equipment procurement schedules aligned with competition timelines, vendor booking windows, and sport-specific budgets.
  • Serve as the department’s liaison with Under Armour and other equipment/apparel vendors to manage ordering, shipping logistics, tracking, and return processes.
  • Advise coaches and staff in forecasting and booking processes to ensure timely and accurate orders, in compliance with department guidelines.
  • Maintain and enhance inventory system as well as set standards to classify “retired” and “re-issuable” apparel.
  • Oversee the full lifecycle of uniforms and equipment inventory, ensuring availability, organization, and compliance with program needs.
  • Ensure the secure handling and storage of athletic supplies and equipment; monitor receipt of all shipments of athletic goods and supplies.
  • Coordinate processes for sorting, labeling, repairing, and issuing athletic equipment; develop procedures to optimize operational efficiency.
  • Manage and adjust the equipment distribution program to meet evolving needs of student-athletes and staff, providing responsive and adaptable service.
  • Oversee the preparation and distribution of uniform and equipment bags for home and away contests.
  • Purchase and inventory chemicals for laundry and custodial services used throughout department grounds, ensuring compliance with safety standards.
  • Evaluate equipment-related issues; develop solutions for equipment maintenance and repairs in collaboration with sport- specific staff.

Locker Room & Laundry Facilities Operations

  • Oversee day-to-day operations of locker room facilities in the Icardo Center, Old Gym, and at Hardt Field, ensuring functionality and safety of all facilities.
  • Maintain and secure records pertaining to locker combinations for student-athletes and entrance door combinations on locker room doors in the Icardo Center and Old Gym.
  • Coordinate and facilitate proper laundering operations for apparel and towels for all teams in the department.
  • Research and implement improvements for laundering procedures and products in alignment with department goals and industry best practices.
  • Monitor locker room facilities to ensure compliance with health and safety standards; coordinate any needed maintenance or improvements.
  • Provide daily lead direction for student staff by training staff on proper laundering procedures, scheduling work shifts based on team needs and competition schedules, monitoring task completion for quality and efficiency, and ensuring adherence to department safety and sanitation standards.

Facilities & Event Operations Support

  • Assist Associate Athletic Director for Internal Operations in coordinating the planning and execution of events for assigned sport(s), ensuring alignment with university policies and conference requirements.
  • Prepare, review, and route game contracts, visiting team agreements, and conference documentation, coordinating with internal and external stakeholders to complete required approvals.
  • Track timelines and event requirements; proactively address logistical needs to support seamless execution of competitions and departmental functions.
  • Provide daily lead work direction to student staff assigned to event operations by coordinating pre-event setup, assigning roles and responsibilities during competitions, ensuring adherence to event protocols and timelines, and facilitating post- event breakdown and reporting to ensure efficient and effective event execution.

Enforcement of Athletics Branding Standards

  • Collaborate with Director of Marketing and Promotions to enforce department style guide across all team apparel and equipment.
  • Coordinate with Under Armour, Adidas, and other vendors to ensure all produced materials comply with departmental licensing, branding, and visual identity standards.
  • Review artwork designs for uniforms and gear; evaluate concepts based on department standards and approve or recommend revisions as needed.

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE – Bachelor’s degree and/or equivalent training and three (3) years of recent administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

LICENSES – Possession of a valid driver’s license or the ability to obtain by date of hire.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

  • Regular and reliable attendance is required.
  • Ability to coordinate multiple concurrent operations (e.g., equipment prep, laundry cycles, event support), prioritize deadlines, and adapt to changing athletic schedules.
  • Capacity to assess operational issues, develop data-informed solutions, and implement process improvements related to equipment, facilities, and event logistics.
  • Ability to collaborate with coaches, vendors, staff, and student workers, and to serve as a liaison between internal departments and external partners in a professional and effective manner.
  • Ability to lead and train student employees, assigning duties, ensuring task completion, and upholding service standards in support of department operations.
  • Familiarity with athletic event logistics, facility use protocols, and safety standards to support planning and execution of competitions and team activities.
  • Ability to manage the acquisition, tracking, and distribution of apparel, equipment, and supplies using institutional procurement practices and inventory management systems.
  • Skill in understanding and implementing campus, departmental, vendor, and branding policies to ensure compliance across purchasing, branding, and operational activities.
  • Thorough knowledge of a wide variety of intercollegiate sports and the equipment needs and facility setup requirements for each.
  • Skill to operate industrial laundry equipment. Knowledge of laundry equipment related to detergent, bleach, and stain removal.
  • Working knowledge of copyright and other applicable laws.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Ability to interpret, communicate and apply policies and procedures.
  • Ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure.
  • Must be committed to the adherence of NCAA rules and regulations.
  • Must be able to work occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

PREFERRED QUALIFICATIONS:

  • Experience working with all-school team apparel contract(s).
  • Experience assisting with facilities and game day operations.
  • First Aid Certification or ability to obtain by date of hire.
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

PHYSICAL DEMANDS: HEAVY WORK – 50% or more of the activities involve walking, standing, squatting, kneeling or climbing; lifting heavy weight objects which may exceed 50 pounds.

ENVIRONMENTAL FACTORS:

  • Is exposed to excessive noise- Constant noise from laundry machines.
  • Is around moving machinery- Machines inside laundry facility.
  • Is exposed to marked changes in temperature and/or humidity
  • Is exposed to dust, fumes, gases, or radiation, microwave- Fumes from laundering and cleaning chemicals (see below)
  • Drives motorized equipment- School vans and electric carts.
  • Works in confined quarters
  • Works in high places- Ladder may be needed to make repairs inside facilities
  • Other: Works with hazardous chemicals including: Bleaches, acids, aerosol particulates, Hydrogen Peroxide. May be exposed to bodily fluids from laundry- Blood, Saliva, Sweat. Potential exposure to MRSA and bloodborne pathogens.

SPECIAL CONDITIONS:
